Handheld

Do you support IR printing?

Yes.  You can export patient lists, procedures, and/or notes to the Palm Memo Pad.  This requires a third-party printing product such as PalmPrint or PrintBoy.  It also requires the Professional version.

Do you support beaming?

Not yet.  Look for this in future versions.

Desktop (Office Version)

I have downloaded your trial version and installed it on my computer.  The program is password protected, but I have not set up a password nor do I find a default password in your manual or website.

This is our number one question.  No matter how prominent we make the directions, it is still in human nature to overlook them.  Please understand that the reason for this function is to protect your patient's confidentiality and to comply with current regulations.

Your Name is Practitioner (not case-sensitive).  This cannot be changed.

Your Password is left blank (no entry).  You are encouraged to change this, but be careful.  If you forget your password, you may not be able to access your data.

How do I add diagnoses, medications, and procedures to the clinical lists?

Office allows you to easily add procedure and ICD codes.  In addition, the Import feature allows you to add items from any other coding system.  Also, check out the Import Medications section to quickly add a list of common medications.

How do I delete records from the PC?

Double-click in the record list to view the individual record, then click the "X" in the Menu Toolbar.

Why is the PocketPractitioner Office version so large?

Palm downloads tend to be small and easily downloaded.  The Essentials or Professional versions are ideal for taking a look at the product if you are limited to a modem connection.  The Office version contains a runtime version of Microsoft Access, and this product is quite large.  However, it has the advantage of being able to be installed on any computer with Microsoft Windows 95 or greater without the need for additional software.  Note that you will only need to download the runtime one time, and all subsequent upgrades will consist of relatively small files.

I already have Microsoft Access.  Why do I need the runtime version?

We had to make a decision regarding size of the program and data integrity.   Microsoft changed its database structure when it upgraded to Access 2000, and Access 97 cannot read Access 2000 files without specific upgrades from Microsoft.  We also do not know what changes Microsoft will make in the future.  We chose a runtime version of Access 97, which many  view as Microsoft's most stable database product, and created a "sandbox" where it can run safely without interference from other programs or operating system upgrades.  Access 97 also has a smaller runtime version - 10 MB vs. 140 MB for Access 2000 / 2002.

You can open the data files with your own version of Access 97 or 2000 to create reports.

Does PocketPractitioner Office connect directly to a billing system?

No. This product is designed to be desktop companion to your Handheld organizer,  much like the Palm Desktop or Microsoft Outlook.  We feel the first step is for you to identify your procedures at the time of service, print a detailed report, and pass it along to your billing office.

However, the data is in a standard format, and there are ways that you can automate the process.  To get information from your billing system to the Handheld, you would need to create an export file and place it in the appropriate folder. You can creates an inpatient report, for example, daily at 7 am.  When you then HotSync anytime after 7 am,  the information would be imported to the Handheld automatically. See the Manual for details.

Does PocketPractitioner Office support multiple users?

Yes and no.  The product was designed for a single user, perhaps a provider with a home office or a PC on the office desk, and it functions most easily with one user per PC.   However, it quickly became apparent that all users don't fit this simple model, and we adapted the product to accommodate multiple users on a single PC.  Currently, each user has an individual database, and only one database can be open at a time (much like opening an email program).

We are planning a program for your front office personnel, so they can open any database on your network.  Look for this soon.

I have a new computer. How do I go about putting the programs on the new computer and then HotSyncing so that everything is restored etc?

If  you have PocketPractitioner Office on one computer and you want to move it to another computer, follow these steps (this assumes the Handheld remains the same).
Make a copy of the C:\Pocket Practitioner\User Name\Data\My Data.mdb on the original computer.
Install PocketPractitioner Office on the new computer.
-  Install HotSync on the new computer.
-  Replace the new C:\Pocket Practitioner\User Name\Data\My Data.mdb file with the original My Data.mdb file (saved in first step).
-  Open PocketPractitioner Office on the new computer.
-   HotSync.

Can I install PocketPractitioner Office on two computers, i.e. home and office?

Yes and no.  During the HotSync, completed records are deleted from the Palm and archived on the PC.  Also, the notes and procedure reports are designed to print automatically one time on the PC, and this may not function correctly if you use more than one computer. You should choose the location that works best for you or use a laptop (our personal choice).

However, if you are consistent about how you delete from the Handheld and print from the Desktop, you can use more than one PC.  You may need to experiment before you find the style that works best for you.

We are planning a program for your front office personnel, so they can open any database on your network.  Look for this soon.
