PocketPractitioner was designed for users like you. However, here are a couple of tips to help you along the way.
PocketPractitioner is a complete package to provide integrated Patient Tracking and Charge Capture. All elements of content were chosen with care to provide maximal functionality in the simplest package. Reading through this manual will help you understand the logic involved and will enhance your ability to utilize its many functions.
There are no hidden consulting or subscription costs with PocketPractitioner. You receive industry-standard software tools, and you have total control over all data elements on your Handheld and PC. The total cost of ownership is low, and your return on investment for the billing products is probably less than a few weeks.

PocketPractitoner Professional: Charge Capture and Export & Print
PocketPractitioner Office is our Professional Plus Desktop version. This product contains the complete Handheld application, a complete Desktop application, and procedure and ICD-9-CM. This version offers a rock-solid business application built on Microsoft Access (runtime included), designed to keep track of billing for small and large organizations alike, at a fraction of the cost of comparable solutions. Designed for any medical practitioner in the world, and accepting any diagnosis or procedure coding system, this is a unique and versatile product.
Major Desktop functions:
Both versions will accept custom codes from any other billing system.
It might help to define a few terms.
· A device compatible with the Palm Computing Platform with version 3.5 or higher. These devices include 3Com’s line of Palm products, all Handspring products, Symbol Technologies SPT family of devices, the IBM WorkPad PC Companion, the Franklin Day Planner, the Sony Clie, Handera, and others.
·
PocketPractitioner Office
Place the CD in your computer. If the install program does not start automatically, go to the Start button, click "Run...", and then type "D:\setup.exe", where D is the name of your CD drive (the letter may vary). You may also go to "My Computer", open the CD drive, and double-click "setup.exe".
Download the appropriate file from http://www.pocketinformatics.com , or from any of our download sites, and double-click on the downloaded file.
You will be guided through the installation process. If you are upgrading your program, be sure to HotSync your Handheld before installing the new software.
If you have more than one user on the same PC, you will need to set up a different folder for each user. This process is described later.
This product will be continually enhanced. You can always download the most current version from our web site, and you can upgrade to more advanced products at any time.
Be sure to HotSync before you update your application, and, if you have the Office version, make a copy of My Data.mdb. (See Backup and Restore.)
You have 14 days to register your Handheld.
You may obtain a registration key at any time by following the steps listed on our web site at http://www.pocketinformatics.com .

When you first open PocketPractitioner on the Handheld, you will be in the Patient List. Your initial selection is for “<All>” patients, and the patients are sorted in alphabetical order.
· Tapping "Export..." takes you to a form for exporting records to the Palm Memo Pad.
· Default. Select the patient view you
would like to see first when you tap a patient name from the Patient List. The default is "Demographics". You
should probably not change this until you are fully aware of the fields in the
Demographics view, as they add significant functionality to the program. However, if 90% of your time is spent
entering charges, for example, changing the default will result in two less
taps per charge entry.
· ADD ICD-9-CM 2006 Codes. Selectively add diagnosis codes from 400 of the most common ICD-9-CM codes.
· Add Procedure Codes. Selectively add procedure codes.
Password. This follows standard Palm conventions for setting a password specific for PocketPractitioner. This is an important element for HIPAA compliance.
· Numeric Keyboard. When ENABLED, the numeric keyboard will pop up in the Patient SSN, MRN, HomePhone and WorkPhone fields.
· Backup. (Office version only). The PocketPractitioner HotSync conduit transfers data from the Handheld to the Desktop version, but it does not backup the files automatically in the Palm backup folder. When ENABLED, the files will backup with each HotSync, allowing for an automatic restore process if you have a hard reset or your Handheld runs out of power. This is strongly recommended. However, if you have an alternative backup program, and would like to have a shorter HotSync process, this function can be DISABLED.
Tapping the Location drop down list brings up a list of current location choices. Tapping any location finds patients for that location only.
The system locations are as follows:
Tap to create a new patient.
Tap any patient to go to the “Patient Edit” form. This is where the action begins.
Tap any location to assign the location to the patient. Select “New” if you do not know the location, “Unfiled” if this is an inactive patient , and “Edit Locations…”, if you want to change the list of Locations.
The Patient List is sorted alphabetically by last name, then first name.
Date of Birth: Tap the drop list (the downward-pointing
triangle) to show a list of decades for quick data entry. For example, tapping "1920's" will
take you to 1/1/1925. Tapping the date field brings up the Palm Calendar.
Medical Record Number: This is a KEY field, which means that if a new patient is added to PocketPractitioner on the PC with the same MRN that you have entered on the Palm, the Palm demographic data may be overwritten by the PC data. This allows you to simply enter your new patient as you are making rounds as “Smith”, adding only the MRN. If your staff is also tracking your admissions, the next time you HotSync the demographic data may be updated, but the clinical data will be untouched. If you decide not to implement this feature, your data will be untouched by the HotSync event.
Social Security Number: This is also a KEY field, as noted
above. Users not in the
Home phone
Work phone
Location 2. When the patients are sorted “By location” in the Patient List, they are sorted first by Location and second by Location 2. This allows you to start your rounds at the top floor and work down, or you can experiment with other naming conventions to make this work for you. For example, if you do a lot of outpatient surgery in the Ambulatory Surgery Department, you may want to give all patients the Location 2 name of “ASD”.
Check the appropriate box. This field was added as it is often a component of the patients Unique Identification Number or as an identifier in a electronic medical record.
Placing a check mark in this box places a “*” in the Patient List. You can use this for any purpose you wish, but typically it would be used after you have seen the patient for the day, or perhaps after you have entered the appropriate procedure code.
Go back to the Patient List by pressing the Back Arrow button and tap the Palm Menu button to bring up the PocketPractitioner Menu. If you tap “Clear (*)”, the “*” are cleared from the location that you are currently viewing. If you want to clear all “*”, then chose <All> for the location.
This will be described below.
Tapping takes you to another form to continue data entry.
This field should contain the name of the provider of services (typically, you). New patients will automatically be assigned to the last provider that was chosen.
This is the patient’s Primary Care Practitioner or PCP. For billing purposes, this is also the Referring Practitioner.
You can enter the name directly or tap the drop down button
for a list of practitioners. From this list, you can perform a Look Up to view
the practitioner you would like to add. When you tap the name, you will be
taken to another form. Tap “Add” to add this practitioner to your
patient’s form.
This is the patient’s medical insurance. You can enter the insurance directly or tap the drop down button for data entry as noted above.
Use this field to make additional notes related to this patient. You may want to add demographic information that is not included in other fields. For example, a trauma surgeon may want to record the patient’s drivers license number. Clinical notes may be created in the Patient Note List, which is described below.
Tapping this field brings up the Palm Calendar. The start date is the date the patient was entered on the Palm, and it will be auto-entered as the patient record is created.
Data entry is as noted above. The end date is the date the patient encounter was completed. The procedures should be complete and the patient can potentially be removed from the Palm. Entering a date makes “Charges complete” visible. You can clear the End date by tapping the label.
Check this box if all charges have been entered for all dates between the Start date and the End date. A “C” is placed in the Patient List.
If you have the Office version, checking the box makes “Delete after HotSync” visible. Then, after the next HotSync, the patient will remain on the Palm, the charges will be removed from the Palm and saved on the PC , and the “C” is replaced by an “X” in the Patient List.
Check this box to delete the patient and all associated lists from the Palm and save it on the PC at the time of the next HotSync. A “D” is placed in the Patient List.
Tapping shows up a dialog box confirming that you want to delete the record. If you tap “Ok” then the patient and all associated records will be removed from the Palm and all data entered from the time of the last HotSync will be lost.
Tapping shows a form where you can write or doodle on the screen. The date is auto-entered. Tap "Erase" to empty the form. When you click Done, the button changes to "Drawing!" if you have written on the form.
Tap to return to Patient Edit.
Tap the View Selector in the left lower corner of the screen. The views include Demographics (also called Patient Edit) and the patient clinical lists: Diagnoses, Medications, Charges, and Notes.
Tap “Export...” in the Record Menu to export Charges and Procedures for this patient only to the Palm Memo Pad.
Tap to return to the Patient List from any view.
Before we examine the patient lists, it is necessary to take a quick look back at an earlier topic. Return to the Patient List by tapping the Back Arrow button and tap the Menu button. You will see the six lists maintained within PocketPractitioner. Tap “Diagnosis List”.
As in the Patient List, you can use the Look Up or Find methods to find diagnoses.
In addition to Look Up and Find, Categories offers a way for you to quickly display those procedures that you use commonly. You can assign a category in Edit Diagnosis by tapping the procedure and then “Details”.
Tap to return to the Patient List.
Tap "Diagnosis List" or the Menu key to open the Record Menu. You will see that you can Sort your list by Diagnosis or Code or elect to Show either Diagnoses and Categories or Diagnosis and Codes. As in the Patient List, you can quickly delete records with "Purge Diagnoses...". (You can restore the records easily as noted below.)
Lastly, if you tap "Add ICD Codes", you will see the following message, "The records displayed are not currently in your Diagnosis List. You may edit the fields and then add them selectively or all at one time. You may repeat this process at any time."
When you first install the program, the list will be loaded with approximately 400 primary care diagnosis codes. However you may delete or purge some of the diagnoses, and you may decide later to reload the diagnoses or check for new codes.
Use the arrows to scroll back and forth through the list, adding the codes as you wish. Diagnoses on your list with matching codes will not be displayed. Although this process may take you some time, it is much faster than adding the items manually. If you have the Office version, you can perform the same functions on the PC.
Tap to create a new diagnosis.
Enter the diagnosis and code and change the category as desired. You also have a note field, and you can write anything you would like about this topic. You can enter up to 2000 characters, or about six screens of information, in this field. This makes it ideal for taking notes during lectures or to make quick notes as you are reading the literature. (Does this remind you of the notebook that you carried in your lab coat during your training?).
This returns you to the Diagnosis List.
If you have a product from Lexi-Comp on your Handheld, this
button will take you directly to that database without leaving
PocketPractitioner. You will be
presented with a choice of Lexi databases, if you have more than one, and after
your selection you will be taken to the closest alphabetical match to your
Diagnosis. In the Diagnosis List the
Lexi button works best with
Tap if you would like to delete a diagnosis. A screen will pop up to confirm your decision.
Stop! You may be thinking that this is entirely too much data entry for the Palm. We could not agree more, which is why almost all list maintenance is automated on both the Handheld and the PC, as described later.
Go back to the Patient List, tap the Menu button and tap
“Medications”. Everything is the same as above, except that there is no code
for medications and no categories. In
the Medication List the Info button works best with Lexi-Drugs, Nursing
Lexi-Drugs, Pediatric Lexi-Drugs, Dental
Lexi-Drugs and Natural Products.
Go back to the Patient List, tap the Menu button and tap
“Procedures”. Everything is the same as above.
In the Procedure List, the Lexi button works best with
Go to the Patient List by pressing the Back Arrow button and select any patient.
Tap the View Selector in the lower left corner of the screen and then tap“Diagnoses” and you will go to the Diagnoses form where the diagnoses for this patient are displayed. To distinguish the patient Diagnoses from the PocketPractitioner Diagnosis List, the patient’s name is displayed in the label. You will find this convention repeated throughout the program.
Tapping any item takes you to the Patient Diagnosis form.
You can edit the Diagnosis or Code, and you can enter a patient specific note.
Tap any item to move to another patient view.
Tap “New” to add a new diagnosis to your patient. Not surprisingly, you find yourself back at the PocketPractitioner Diagnosis List. It functions exactly as before, with the following exceptions.
Tap the View Selector and “Medications” and you will go to the patient Medications list. The list displays the medication name and Sig. Tapping the medication takes you to the Patient Medication form.
Tapping shows a table to assist data entry for the Sig. “Hide table” removes
the table.
Tap the View Selector and “Charges” and you will go to the patient Charges list. Everything is the same as above, with the following exceptions:
If you tap the Patient Name or the Palm Menu button, you will see the following options:

Sort by Date
Tapping the charge brings up the Patient Charge form.
Tap the View Selector and “Notes” and you will go to the patient Notes list. The buttons have similar functions, but the Note section has a number of new features.
The list displays the date of the note and the first line of the note. Tapping the note brings up the Note form.
Tapping the Palm Menu button in any form other than the Patient List will bring up menus appropriate for that form. All menu selections are available from the Patient List.
Tapping the Palm Find button in any form other than a List will bring up a reminder that you need to be in a List to access this feature.
Tapping the Palm Applications button exits PocketPractitioner.
You must have PocketPractitioner Office open on the PC to be able to synchronize data during the HotSync. Click on the PocketPractitioner shortcut on the desktop or in the Start\Programs\PocketPractitioner Menu.
Your initial security Name is "Practitioner" and your initial Password is left blank. You are encouraged to change the Password in the Tools menu, but bear in mind that if you forget your password, you will not be able to access your data.
If you have multiple users on the same PC, you need to create a shortcut for each user, so that the correct database is open. Only one version of PocketPractitioner Office is allowed to be open at one time.
The Main Menu has a number of buttons to take you to different forms. The Title is customizable by clicking Setup and Preferences. You can exit the program by clicking Exit or chose Exit from the Menu bar.
· If you select Charges: Daily or Notes: Daily , all charges and notes will be printed that have not already been printed. When you click the close button, you will see the following message: “Did you print the report and was it OK?” If you do not want to print these notes again, select “Yes”.
· You may select Charges or Notes By Date.
·
You may select Charges or Notes By Patient.
·

"Completed" on the Palm
This is a useful addition to the daily notes, as it will print all notes from the start date to the end date.
·
Rounds.
A summary of all active patients on the Handheld. Ideal for printing for another practitioner
rounding on your patients.
· Report Options allows you to print your charge reports one patient per page or multiple patients per page.
· Handheld overwrites Desktop. This is the default
· Desktop overwrites Handheld. This is used to restore information from the time of the last HotSync from the Desktop to the Handheld. You might choose this option if you were replacing your Palm, if you had just had a hard reset, or if you had lost battery power. Note that the Palm OS automatically saves your data when you HotSync. This feature gives you another level of data integrity. (Also, be sure to back up your My Data.mdb file periodically.)
· Run Excel. This opens an Excel spreadsheet, if you have Microsoft Excel. This is handy for creating custom lists.
· Preferences. This is where you can change the name that appears in the Main Menu title. This is helpful if you have more than one user on the same PC.
·
Help.
· Import Patients, Diagnoses, Medications, and Procedures. These buttons import lists that have been imported to PocketPractitioner Office. This is discussed later. In addition to the procedure and ICD codes, the import function allows you to use any coding system, and to allow you to create a list one time on the PC and import it easily to multiple Handhelds.
· Find Patient. Type the search term, select the criteria, and click Find. Double click the patient or select the patient and click Edit to move to the “Patients” screen.
·
Patients. This form displays all patient
demographic information. Note the Filters and context-sensitive buttons.
There are multiple features available in this form, but most are standard
Windows conventions. Note that you cannot change information in a field without
selecting Edit. Also note that when you edit information that is
currently on the Handheld, your new information will overwrite information on
the Handheld.
These follow the same rule as Patients.
There are buttons for adding ICD codes to the Diagnoses and codes to Procedures. Clicking these buttons opens the entire code database, any you can add any record by checking it, pressing "Add", and then HotSyncing to your Handheld. There are buttons to help you Find a specific record or to Filter based on up to two search terms.
You may check the "Custom" diagnoses list to check one of our code sets or check the "E/M" procedure list to check all 130 E/M codes. You can modify the preferred names, check more records, uncheck all records, or click "More" to see an expanded view of the record.
Custom diagnosis sets are included for the following specialties:
· Primary Care
· OB/GYN
· Surgery
· Cardiology
· Gastroenterology
Some diagnoses will be in more than one list. The category listed for that diagnosis will be the last speicalty chosen.
There is also a Delete button to allow you to quickly delete records on your Diagnosis or Procedure list.
Note that editing records is done on the PC, where it is most efficient. Also, only those codes that are of interest to you are downloaded to the Handheld, keeping the application small and quick.
Many practitioners will want to consider keeping the application open on the Desktop while they are in the office. It provides the ability to quickly look up any code, and the Notes field in each record provides a great place to keep tidbits of information gathered during the work day.
All clinical information for the Desktop program of PocketPractitioner Office is stored in an Access database called My Data.mdb. You will find this in the Data folder in the PocketPractitioner folder. (Typically the path will be c:\Program Files\Pocket Practitioner\User Name\Data\My Data.mdb.) If you have Microsoft Access, you can open this file and look at all data, but do not make any changes to the underlying table structure, or your program will not function correctly. If you are comfortable with Access, you can develop your own program that links to these tables (read only). You will need to use the SECURE_SYSTEM.mdw file included with the application, as the database is secured.
The program is stored in an Access database called Practitioner.mde. This is the program that opens when you click on the shortcut on your desktop or in your Start Menu.
PocketPractitioner Office comes with an runtime version of Microsoft Access 97. With the runtime version, you have all the power of Access, but you are not able to create new forms, tables, queries or scripts. You can add, delete or upgrade any software (including any version of Microsoft Access) or upgrade your operating system without affecting this program. If you have Access 2000, you may open My Data.mdb, but do not convert it to an Access 2000 format, as this changes the file structure and will cause your program to cease functioning.
There are a number of dBase 5 files in the Data folder. These are used to transfer information from the Palm to the PC.
You will find Excel templates in the Import folder. If you want to create your own lists for import, you will need this exact file structure, so you may want to open the file and perform a “Save As” before making any changes.
If you would like to save space on your hard disc, the folder “Install” can be deleted after the program has been installed.
The Desktop database is a mirror of the Handheld database. When you add any record to the Handheld (Ex: patient, procedure, patient charge, etc.), the record is given a unique identifier. For example, your patient "Robert Smith" may have an identifier of "1001" on your Handheld, and the same patient may have identifier "1234" on another Handheld. Therefore, it is critically important that the Desktop recognize the correct Handheld and only HotSync with it. To accomplish this, the Desktop application stores the Handheld User Name the first time that you HotSync the Handheld to the Desktop.
However, under certain circumstances, you may decide to rename your Handheld or use a Handheld that has a different User Name. Please note the following possibilities if the Handheld User Name has changed:
· If the PocketPractitioner data is identical in the new Handheld, simply open the Desktop, select Tools -> Reset User Name and HotSync. This is usually the case if you rename your Handheld.
· If the PocketPractitioner data is different in the new Handheld, and if you want to HotSync this new information to the Desktop, you must reinstall the software and create a new Desktop User Name during the install. You will not be able to merge data from two Desktop programs.
· If PocketPractitioner is not installed and if you want to HotSync this to a pre-existing Desktop program, you must reinstall the software using the same Desktop User Name during the install.
· There is no limitation to the number of providers that can use this product on one PC, but you need to pay attention to the setup, as noted below:
· Only one version of PocketPractitioner Office may be open on the desktop at any time. If you try to open a second version, you will get an error message.
· When you update your program, you will need to reinstall it using the same User Name.
· To uninstall the Desktop program for a provider, navigate to C:\Program Files\Pocket Practitioner\User Name and click Uninstall. All files, shortcuts and registry entries will be removed except for your My Data.mdb database. To remove every trace of the program for that provider, throw the User Name folder in the Recycle Bin and empty the Recycle Bin.
We have made every attempt to use standard data elements. If you have knowledge of Access or other database programs, it is possible to link to the tables in My Data.mdb using the SECURE_SYSTEM.mdw included with your application.
PocketPractioner is password protected if you set the password in the Patient Lists > Menu > Options > Preferences section. The password selection follows the standard Palm logic. If you forget your password, you will not be able to access your data.
If you do not set the password, PocketPractitioner has the same level of security as other confidential information on your handheld. We recommend that you HotSync your unit frequently and that you implement a security system to ensure that information remains confidential if the handheld is lost or misplaced.
One possibility is to lock your device using the built-in Security application. This does prevent a HotSync, and unauthorized transmission of data, but many users find it slow and awkward to use. This has been improved with Palm OS 4.0
There are a number of third-party applications available that provide additional functionality not provided by Palm. Most of these programs automatically lock your device whenever it is turned off and provide quick and easy unlocking of the device. Two of the more popular applications are listed below:

The user also need
to be concerned about data integrity, and products such as BackupPro or
FlashPro from Handera < http://www.handera.com/products/prosoftwr.asp
> give another level of protection. These products can save data to unused
areas of memory, if available on your handheld, and can protect you from loss
of data if your unit runs out of battery power.
Your Security Name is "Practitioner" and your initial Password is left blank. You are encouraged to change the Password in the Tools menu, but bear in mind that if you forget your password, you will not be able to access your data.
If you have multiple users, they all have the same initial Name and Password, but each user can change his or her Password at any time.
You can view the My Data.mdb with Access 97 or 2000 using the appropriate SECURE_SYSTEM.mdw plus Name/Password. Be careful not to update the database to Access 2000 format or it will not function. You may also link to the databases to create custom reports.
We also offer an administrative password, if you are coordinating multiple users. However, if you are not comfortable with mdw files, we would suggest that you not try to manipulate the underlying database, as it is possible to corrupt your files and lose data.
PocketPractitioner automatically backs up the files with each HotSync into the C:\Palm\User Name\Backup folder. If your unit is lost or the batteries go dead, just place a fresh unit in the HotSync cradle, make sure the User Name is the same as the defective unit, and all backed-up data will be restored as you HotSync.
If you have ENABLED the Backup Preference, PocketPractitioner automatically backs up the files with each HotSync into the C:\Palm\User Name\Backup folder. If your unit is lost or the batteries go dead, just place a fresh unit in the HotSync cradle, make sure the User Name is the same as the defective unit, and all backed-up data will be restored as you HotSync.
If you have DISABLED the Backup Preference, you will need one more step. The Office version also synchronizes your data with the Desktop program with each HotSync. Note that the Desktop program must be open for this to occur. If your unit is lost or the batteries go dead, just place a fresh unit in the HotSync cradle, make sure the User Name is the same as the defective unit, and the application files will be restored as you HotSync. Then open the Desktop program, HotSync again and your data is intact.
You will also want to backup your C:\Pocket Practitioner\User Name\Data folder as part of your backup routine and before you update your version of PocketPractitioner Office. (Note that this folder is not in your My Documents folder, which may require modification of your backup routine.) You should also backup your C:\Palm folder routinely.
You may want to have another backup system in place, such as backupbuddy http://www.bluenomad.com/ or you may want to save your data on removable media.
If you have PocketPractitioner on one Handheld and you want to move it to another Handheld, follow these steps:
Before starting, we recommend performing a PC backup, including backup of the following two folders:
· c:\palm
· c:\program files\pocket practitioner
Case 1: The
Handheld User Name is the same
· HotSync your old Handheld to make sure all data is backed up. If you have the Office version, be sure to have the Desktop program open as you HotSync and the Backup Preference should be ENABLED. Then close the Desktop program.
· PocketPractitioner: The first time you HotSync your new Handheld, you will be asked to choose the HotSync name. If you chose the same name, your application files are automatically restored to the Handheld as you HotSync.
· PocketPractitioner Office: Reinstall the program to the same PocketPractitioner folder (important) and to the Handheld, HotSync, open the Handheld, open the Desktop, and HotSync one more time.
Case 2: The
Handheld User Name is different
· HotSync your old Handheld to make sure all data is backed up. If you have the Office version, be sure to have the Desktop program open as you HotSync and the Backup Preference should be ENABLED. Then close the Desktop program.
· PocketPractitioner: You will need to load the Palm files onto your new Handheld. These will be found in c:\palm\old-username\backup. To load a file, double-click on it. The Palm Install Tool will open. You can then navigate to add the other files. Hold the Control button to select multiple files.
Load the following files:
All files starting with "EPRAC0100"
All files starting with "PRAC_"
"Practitioner"
PocketPractitioner Office: Reinstall the program to the same PocketPractitioner folder (important) and to the Handheld, HotSync, open the Handheld, and open the Desktop. When you open the Desktop program, go to Tools -> Reset User Name. This will allow you to synchronize with a Handheld of another name. Select "OK" and the application will close. Open it again, place the new Handheld in the cradle, and HotSync one more time.
· You will need a new Registration Number for the new Handheld the next time you upgrade your application. If you are entitled to a free upgrade, you need to contact us, otherwise you will need to purchase the upgrade as per usual. See the website for our Upgrade Policy.
If you have PocketPractitioner Office on one computer and you want to move it to another computer, follow these steps (this assumes the Handheld remains the same):
· Make a copy of the C:\Pocket Practitioner\User Name\Data\My Data.mdb on the original computer.
· Install PocketPractitioner Office on the new computer.
· Install HotSync on the new computer
· Replace the new C:\Pocket Practitioner\User Name\Data\My Data.mdb file with the original My Data.mdb file (saved in first step).
· Open PocketPractitioner Office on the new computer.
· HotSync.
From the Handheld program, you may export charges, notes or patient lists to a Memo in the Palm Memo Pad program. You may print the Memo to an Infrared or Bluetooth printer using third-party software, such as PalmPrint or PrintBoy. Alternatively, you may print the Memo from the PC after a HotSync by opening the associated PC program, usually Microsoft Outlook, Microsoft Outlook Express, or the Palm Desktop.
With Pocket Practitioner Office, you HotSync to your PC and then print with your usual printer. Since you can print all charges or all notes at one time, this is ideal for multiple reports when you are in the office or home.
You may print all reports for a patient or for a category of patients.
For an individual patient, go to Patient Edit and tap Menu > Report > "Export..."
For multiple patients, go to Patient List, select a category
and tap Menu > Report > "Export..."
Selected records will be exported to the Palm Memo Pad.
Check the appropriate box for Charges, Notes or the Patient List.
Check the appropriate box for New Records or All Records.
You may now print the Memo as noted above.
If you have PocketPractitioner Office, you may export notes to the Palm Memo Pad as noted above. However, you have a number of more sophisticated reports available if you open the PocketPractitioner Desktop program before you hotsync.
From the Desktop Main Menu, click Print Reports.
If you select Charges: Daily or Notes: Daily ,
all charges and notes will be printed that have not already been printed.
When you click the close button, you will see the following message: “Did you
print the report and was it OK?” If you do not want to print these notes again,
select “Yes”.
You may select Charges or Notes: By Date.
You may select Charges or Notes: By Patient.
Report Options allows you to print your charge reports one patient per page or multiple patients per page.
Additional reports are available in the Report Menu.
· Notes Completed and Charges Completed: These reports are identical to the above reports, with one exception. After you have marked the record on the Palm "Complete", this report will run one time and print all notes or reports from the Start Date to the End Date.
· Rounds: This report lists all your active patients (not marked as "Unfiled") plus Location, Provider, Primary, and Patient Diagnoses.
The following methods require an intermediate knowledge of Access and Excel.
PocketPractitioner Office allows you to easily import diagnosis codes from any coding system. However, you need to know what happens to the records to be able to design your import file correctly.
· Each diagnosis must have a unique CODE. This is a required field.
· If the CODE field does not match, the new record is appended, or added, to the Diagnosis list.
Create an Excel file with exactly three columns. In the first row, label the first column “CODE” (in caps, without the quotes), the second column “DIAGNOSIS”, and the third column “NOTE”. Save the file in any folder. Your file should look like the following:

Check the box “First Row Contains Column Headings” and click “Next”.
Choose to store your data “In an Existing Table”, check the down arrow, select “Import_Diagnoses” and click “Finish”.
From the PocketPractitioner Office Main form, click “Setup”
and then click “Import Diagnoses”. You will be given a choice as to whether or
not you want to overwrite the NOTES field in addition to the DIAGNOSIS field
for matching records. (See the discussion earlier.)
The next time you HotSync, your records will be added to the Handheld. Note that once a record has been added to the Handheld, it can only be deleted on the Handheld. Therefore, you will want to edit the record list carefully before importing. If there are records that you add to the Desktop but do not want on the Handheld, you have one more opportunity to edit the record list before you HotSync. Go to the Diagnoses form and filter on Appended records. You will be able to uncheck the Appended box (highlighted in red) if you do not want the record added to the Handheld.

If there is a matching record, the following informational fields are updated only if there is no data in the corresponding field:

· If the SSN or MRN field does not match, the new record is appended, or added, to the Patient list.
· All imported records are added to the Handheld with the next HotSync. A blank Excel file is included in the Pocket Practitioner folder which you can edit to suit your needs.

The import function is a powerful tool. It
allows the provider to enter minimal demographic information while making
rounds, requiring only an accurate SSN or MRN for identification. A list of
patients can be created by the provider’s organization in an Excel or Access
format, and the information can be imported-automatically with the
HotSync or manually with just a few steps. A daily patient list can be
maintained, with only the new records being added to the Palm. However, you
must take a few precautions:
o First
of all, you do not need to use this method. It is entirely optional.
o If
the MRN or SSN matches incorrectly, all demographic information changes, which
should be immediately apparent to the Handheld user.
o If the MRN or SSN matches correctly, all demographic fields will be updated, even if the imported fields are blank. Therefore, if you use this method, you will want to make sure that all of the demographic fields noted are included. This is also a good practice to positively identify the patient.
o It is probably wise to match either on the SSN or the MRN, and leave the other field blank in the import file. However, if you have total control over your computing environment, there is no reason that you cannot use both fields simultaneously, allowing you to use whichever value is readily available. Just be aware that using both increases the odds of an incorrect match.
o Note that the user can make changes on the Handheld in the informational fields without concern that they will be overwritten.
Create an Excel file with exactly thirteen columns, with headings exactly as noted above (LAST NAME,...,COMMENT) Save the file in any folder. Your file should look like the following:

Name the table “MyNew_Patients” and populate the table with data. Export the file to the My Data.mdb database in your Pocket Practitioner folder, and overwrite the file of the same name. Do not convert any database in the Pocket Practitioner folder to Access 2000 format, or your program will cease to function.
The next time you HotSync, your data will be imported.
In my institution, the IT department has developed a program that prepares an Access table automatically from the main database at 6:30 am for all patients currently in the hospital specifically for my medical group. It is then possible to HotSync to get an updated list imported into the Handheld, which can be helpful at the start of morning rounds.
